Terms of Service

These Terms of Service (“Terms”) govern your use of CallRope's website and AI voice agent services. By signing up or using our services, you agree to these Terms.
1. The Service
CallRope provides AI-powered voice agent software that answers inbound calls on behalf of healthcare practices, handles appointment booking, and routes calls according to your configuration. The service is provided on a monthly subscription basis.
2. Eligibility
You must be at least 18 years old and have the authority to enter into a binding agreement on behalf of your practice or organization. The service is intended for use by licensed healthcare providers and their authorized staff.
3. Free Trial
We offer a 14-day free trial for new customers. No credit card is required to start a trial. At the end of the trial period, your service will pause unless you provide payment information and activate a paid plan. Trial usage is subject to a limit of 200 minutes. Misuse of the trial (creating multiple accounts to extend trial access, or any use that violates these Terms) will result in immediate termination.
4. Subscription and Billing
Subscriptions are billed monthly in advance. Your billing cycle begins on the date you activate a paid plan.
Plans:
- Solo (1 location): $349/month, includes 500 minutes
- Multi-Location (2-5 locations): $299 per location per month, includes 500 minutes per location
- Enterprise/DSO (6+ locations): Custom pricing
Overage: Usage above your included minutes is billed at $0.25 per minute. Overage charges are added to your next monthly invoice.
Payment: We accept major credit cards via Stripe. Invoices are issued on the first day of each billing cycle and charged automatically.
Late payment: Accounts with failed payments will be suspended after 7 days. Service resumes upon successful payment.
5. Cancellation
You may cancel your subscription at any time. Cancellation takes effect at the end of your current billing period. We do not offer prorated refunds for partial months. To cancel, email usman@callrope.com or use the cancellation option in your account dashboard.
6. HIPAA and Healthcare Data
CallRope operates as a Business Associate under HIPAA when processing call data involving Protected Health Information. Use of CallRope for healthcare applications requires a signed Business Associate Agreement (BAA). You are responsible for:
- Executing a BAA with CallRope before processing any PHI through our service
- Ensuring your use of CallRope complies with applicable HIPAA rules
- Configuring data retention settings appropriate for your compliance obligations
- Training your staff on appropriate use of AI-assisted call handling
CallRope is not responsible for HIPAA violations resulting from your misconfiguration of the service or failure to execute a BAA.
7. Acceptable Use
You agree not to use CallRope to:
- Collect patient data beyond what is necessary for appointment scheduling and call routing
- Impersonate licensed medical professionals or provide medical advice through the AI agent
- Record or process calls in jurisdictions where doing so is prohibited without consent
- Violate any applicable federal, state, or local law
You are responsible for ensuring that your use of AI call answering complies with all applicable consent and disclosure requirements in your state, including any requirement to disclose that a caller is speaking with an AI system.
8. Uptime and Service Levels
We target 99.5% monthly uptime for our voice infrastructure. Scheduled maintenance will be communicated at least 48 hours in advance. We are not liable for downtime caused by third-party telephony providers or force majeure events.
9. Limitation of Liability
To the maximum extent permitted by law, CallRope's total liability for any claim arising out of or relating to these Terms or the service shall not exceed the amount you paid us in the 3 months prior to the claim. We are not liable for indirect, incidental, or consequential damages, including lost revenue or missed appointments.
10. Termination
We may suspend or terminate your account if you violate these Terms, fail to pay, or engage in conduct that poses legal or reputational risk to CallRope. We will provide notice where reasonably possible. Upon termination, your data will be retained for 90 days and then deleted, unless you request earlier deletion.
11. Changes to These Terms
We may update these Terms at any time. We will notify you by email at least 14 days before material changes take effect. Continued use of the service after the effective date constitutes acceptance.
12. Governing Law
These Terms are governed by the laws of the State of New Mexico, without regard to conflict of law principles. Any disputes will be resolved through binding arbitration under the rules of the American Arbitration Association.
